This Privacy Policy applies to personal data processed by Akiles as a data controller, including data obtained through:
Forms available on our websites, landing pages and digital channels.
Lead forms included in Meta advertisements, such as Facebook and Instagram ads.
Lead forms included in Google advertisements or services.
Other advertising platforms, social networks or digital channels used by Akiles.
Requests for information, demonstrations, quotations or commercial contact.
Communications by email, telephone, video call or in-person meetings.
The contracting, provision and support of our products and services.
Subscriptions to marketing communications or newsletters.
Events, trade fairs, professional sessions and other commercial activities organised or attended by Akiles.

When you interact directly with Meta, Google or another platform, those entities may also process your information as independent data controllers in accordance with their own privacy policies and terms.

3. Personal data we process

Depending on your relationship with Akiles, we may process the following categories of personal data:
Identification and contact details: First name, surname, email address, telephone number and other information necessary to identify or contact you.
Professional information: Company or organisation, job title, business sector, professional location and other information relating to your professional activity.
Information concerning your request: Information about the product, service, project, installation or requirement for which you contacted Akiles, including any answers submitted through a form.
Commercial information: History of contacts, meetings, demonstrations, quotations, sales opportunities, the status of the commercial relationship and communications exchanged with Akiles.
Contractual and billing information: Information required to prepare offers, enter into and manage contracts, issue invoices, collect payments and comply with our legal and tax obligations.
Technical and browsing information: IP address, device or browser identifiers, technical logs, pages visited, website interactions, source campaign and information obtained through cookies or similar technologies, where applicable.
Advertising campaign information: Information about the advertisement, form, campaign or channel that generated the contact, together with events relating to the progress of a commercial opportunity when advertising measurement, attribution or optimisation services are used.

Akiles does not intentionally request special categories of personal data, such as information concerning health, religion, political opinions, ethnic origin, sexual orientation or trade union membership. Please do not provide this type of information through commercial forms or communications.

4. How we obtain your data

We may obtain personal data:
Directly from you when you complete a form, request information, contact Akiles or purchase our services.
From Meta when you complete a form included in a Facebook or Instagram advertisement.
From Google when you complete a form included in a Google advertisement or service.
From another advertising or professional platform through which you expressly requested information about Akiles.
From a company or organisation with which we have a relationship, where that organisation provides your details to manage a request, project, contract or service.
From Akiles customers that register you as a user of their access-control system. In these circumstances, the section concerning processing carried out on behalf of our customers applies.

For forms managed by Meta, Google or another platform, we receive the information you entered and authorised the platform to transmit to Akiles.

5. Purposes and legal bases

Responding to enquiries and contact requests: We use your data to respond to enquiries, arrange demonstrations, analyse requirements, prepare quotations and provide information about our products and services. The legal basis is taking steps at your request prior to entering into a contract and, where applicable, our legitimate interest in responding to your request and managing a potential professional or commercial relationship.
Managing commercial opportunities: We may record your information in our commercial systems and CRM, follow up on your request, contact you and document the progress of the commercial opportunity. The legal basis is taking pre-contractual steps, your consent where applicable and our legitimate interest in organising and managing requested or initiated commercial relationships.
Providing our products and services: We process the information necessary to enter into contracts, provide services, perform installations, administer accounts, provide support, manage incidents, issue invoices and collect payments. The legal basis is the performance of a contract and compliance with applicable legal obligations.
Sending marketing communications: We may send you information about Akiles products, services, news, content, events or promotions where you have provided your consent. Where a prior contractual relationship exists, we may send communications concerning Akiles products or services similar to those previously purchased, where permitted by applicable law. You may object or unsubscribe at any time by using the link included in each communication or by writing to support@akiles.app. The legal basis is your consent or, where legally permitted, our legitimate interest in keeping existing customers informed about similar products and services.
Measuring and optimising advertising campaigns: Where these functionalities are enabled, we may use services provided by Meta, Google or other providers to determine which campaigns generated an enquiry, sales opportunity, proposal or purchase. Measure the performance of our campaigns. Prevent duplication or attribution errors. Create statistics and advertising audiences. Improve and optimise the delivery of our advertisements. For these purposes, Akiles may transmit certain identifiers to these platforms, such as an email address or telephone number, applying protection measures such as encryption or hashing where appropriate, together with information about commercial events, such as the receipt or qualification of a lead, the submission of a proposal or the completion of a purchase. This processing will only take place where legally permitted and, where required, after obtaining your consent. The legal basis will be your consent and, where permitted by law, our legitimate interest in measuring and improving the effectiveness of our campaigns.
Protecting security and preventing misuse: We may process technical logs and usage information to protect our systems, detect errors, prevent fraud, investigate incidents and ensure the security of our services. The legal basis is our legitimate interest in maintaining the security, availability and integrity of our systems and services, together with compliance with applicable legal obligations.
Complying with legal obligations: We may retain or disclose information when necessary to comply with tax, accounting, commercial, administrative, judicial or regulatory obligations. The legal basis is compliance with a legal obligation.

6. Required information

Fields marked as mandatory in a form are necessary to process the relevant request. Where this information is not provided, or is provided incorrectly or incompletely, we may be unable to respond to your request, prepare a quotation, manage a contract or provide certain services. Anyone providing personal data confirms that the information supplied is true, accurate and up to date.

Our websites may use cookies, pixels, tags and other similar technologies to ensure that they function correctly, analyse their use, measure campaigns and personalise advertising. 8. Recipients of personal data

Access to personal data is limited to Akiles personnel who require it to perform their duties. We may also provide access to, or disclose information to, the following categories of recipients:
Hosting, cloud infrastructure and technology providers.
CRM, automation, forms, email, support and communications providers.
Analytics, measurement, attribution and digital advertising providers.
Meta Platforms Ireland Limited when we use Meta forms, integrations, measurement tools or advertising services.
Google Ireland Limited and other Google group entities when we use Google forms, analytics, integrations, measurement tools or advertising services.
Billing, payment, accounting and administration providers.
Legal, tax and accounting advisers, auditors and insurers.
Public authorities, regulators, courts and tribunals where legally required.

Providers that process information on behalf of Akiles are subject to the relevant contractual and confidentiality obligations.
Meta, Google and other platforms may also act as independent data controllers in relation to processing carried out for their own purposes, in accordance with their own privacy policies.
Akiles does not sell personal data or disclose it to third parties for their own purposes unrelated to those described in this Policy.

9. International data transfers

Some of our providers may process personal data from countries located outside the European Economic Area. Where an international transfer takes place, Akiles will apply the safeguards provided for under applicable data-protection law, including:
An adequacy decision adopted by the European Commission.
Standard contractual clauses approved by the European Commission.
Binding corporate rules.
Other valid safeguards or transfer mechanisms under the General Data Protection Regulation.
Where necessary, supplementary measures will also be implemented to ensure an appropriate level of protection.

10. Retention periods

We retain personal data only for as long as necessary to fulfil the purposes for which it was collected. As a general rule:
Information concerning enquiries and commercial opportunities that do not result in a contract will be retained for a maximum of 24 months following the last relevant interaction.
Customer data will be retained throughout the contractual relationship and subsequently for the periods required to comply with legal obligations and address potential liabilities.
Information used for marketing communications will be retained until you withdraw your consent or object to the processing.
Where you unsubscribe from marketing communications, we may retain the minimum information required on a suppression list to ensure that no further communications are sent.
Technical and security logs will be retained for the periods necessary to investigate incidents, protect systems and comply with legal obligations.
Information associated with cookies and similar technologies will be retained for the periods stated in the Cookie Policy.
When data is no longer required, it will be erased, anonymised or restricted for the periods during which legal liabilities may arise.

11. Automated decision-making and profiling

Akiles does not make decisions based solely on automated processing that produce legal effects concerning you or similarly significantly affect you. We may classify, organise or prioritise commercial opportunities using information about requests and previous interactions. These operations are used to organise commercial activity and do not, by themselves, produce legal effects or significant decisions concerning individuals. Advertising platforms used by Akiles may use automated systems to select, deliver and optimise advertisements in accordance with their own policies and settings.

12. Your rights

You may exercise the following rights:
Access: to find out whether we process your data and obtain a copy.
Rectification: to request the correction of inaccurate or incomplete information.
Erasure: to request the deletion of your information where applicable.
Objection: to object to certain processing based on legitimate interests or carried out for direct-marketing purposes.
Restriction: to request the temporary restriction of processing in certain circumstances.
Portability: to receive information you provided in a structured format and transmit it to another controller where applicable.
Withdrawal of consent: to withdraw consent at any time, without affecting the lawfulness of processing carried out before its withdrawal.
Automated decisions: to request not to be subject to decisions based solely on automated processing where they produce legal or similarly significant effects.

You may exercise your rights free of charge by writing to support@akiles.app. Please identify the right you wish to exercise and provide the information necessary for us to locate your data. We will only request additional documentation to verify your identity where we have reasonable doubts concerning the identity of the person making the request. We will respond within one month. This period may be extended by up to two additional months where necessary due to the complexity or number of requests. If an extension is required, we will inform you and explain the reasons. You may also lodge a complaint with the Spanish Data Protection Agency through its electronic office.

13. Data deletion instructions

You may request the deletion of personal data received by Akiles through Meta, Google, our website or any other channel. To submit a request send an email to support@akiles.app. Use the subject line “Data deletion”. Include your name and the email address or telephone number used in the form. Where possible, state whether the information was submitted through Meta, Google, the Akiles website or another channel. Akiles will acknowledge and process your request within the applicable legal period. We will erase your information where appropriate unless certain data must be retained to comply with a legal obligation, address liabilities, prevent fraud or demonstrate that the request was fulfilled. In these circumstances, the information will be restricted and will not be used for any other purpose. Certain residual copies may remain temporarily in security backups until they are overwritten in accordance with our backup cycles. Such copies will not be used for ordinary processing.

14. Data processed on behalf of our customers

When providing access-control services, Akiles may process personal data on behalf of companies, residential communities, hotels, operators, property owners and other customer organisations. This data may include identification and contact information, access credentials, permissions, schedules, assigned devices and access logs. In these circumstances:
The customer organisation generally acts as the data controller.
Akiles acts as a data processor.
Processing is governed by the agreement and data-processing terms entered into with the customer.
Akiles processes the information in accordance with the customer’s documented instructions.
The customer organisation determines the purposes, authorised individuals and applicable retention periods.

Where you are a user of an access-control system managed by an organisation, you should initially contact that organisation to exercise your rights. Akiles will assist the customer in handling the request where appropriate.
This does not prevent Akiles from acting as a data controller in relation to certain information that it must process for its own billing, security, support, legal-compliance or contractual purposes.

15. Information security

Akiles implements technical and organisational measures designed to protect personal data against unauthorised destruction, loss, alteration, access, use or disclosure. These measures are reviewed and updated taking into account the nature of the information, the state of technology and the risks associated with processing. However, no system is completely invulnerable. If you become aware of a potential security incident relating to Akiles, you may report it to support@akiles.app.

16. Changes to this Policy

Akiles may update this Privacy Policy to reflect legal, technical, organisational or service-related changes. The current version will remain available on this page and will state the date on which it was last updated. Where changes are significant, we may communicate them through our website, services or available contact channels.
